Steps to make a booking.

  1. Check availability of the date.
  2. You should receive a completed booking sheet, contract sheet and music suggestions sheet (for wedding ceremonies) or you can download them yourself.
  3. Return the signed contract sheet and 50% deposit. The deposit is payable by personal cheque, bank cheque, money order or direct deposit. Please contact us for mail address details or bank account details. The balance is payable before the performance date or, if paying on the day, before the performance begins. NB. For direct deposit, please quote the given reference number.
  4. We will phone you 7 – 10 days before the performance to re-check all details.

Tips for filling out the booking sheet.

  • The ensemble will arrive 20 -30 minutes before the booking time.
  • The ensemble will be set up and ready to play at the booking time. In choosing the booking time, please consider the time your guests are likely to arrive and when you would like the music to begin.
  • For wedding ceremonies, we recommend 15 – 30 minutes of music before the ceremony begins, followed by music for the processional, signing of the register and recessional (we can make suggestions for the selection of music for these), followed by more music after the ceremony, time permitting. Music is not usually required during the speaking part of the ceremony. For a Catholic Nuptial Mass, we also provide music for the offertory, lighting of candles and communion.
  • The minimum booking time is 1.5 hours.
  • Players may not be able to stay beyond the specified booking time and overtime is charged at $15 per player per 15 minutes.
  • At a wedding reception or other function, we play in musical segments. The first segment is approximately 1 hour. Subsequent segments are approximately 45 minutes followed by a 15 minute break for each hour. This is flexible and we try to fit in with your special day (eg. around speeches, etc.)
  • You can select as much or as little of the music as you like (see Choosing the music ). Many couples choose a piece for their entrance and for the bridal waltz.
  • The booking time covers all the time the players are required to be at the function. If there will be a long “non – playing” period of 1.5 hours or more (eg. Between the ceremony and reception), a lesser charge is payable for that time. (see Prices ).

Ensemble

If you are unsure of which combination of instruments you would like to book, go to flute and strings quartet , ensembles available and woodwind ensembles.

Prices

For help with filling out the quote, deposit and balance section of the booking sheet, go to Prices .

Venue

  • Please provide the full name and address of the venue with any specific details (eg. on the terrace)
  • A copy of a map may be useful.
  • Please provide information about where to park. Where parking is difficult, can a spot be arranged for the group?
  • Travelling expenses may be incurred for functions outside the Sydney Metropolitan area. Please discuss this with us. For a rough guide of areas we travel to, go to Prices .
  • It is helpful for us to know if we will be performing inside or outside. We have a few basic requirements, such as adequate lighting and shelter (especially for outdoor work). These are listed on the contract sheet, to be signed at the time of booking.
  • For outdoor weddings, please consider a wet weather alternative as we cannot allow instruments to get wet. If your reception venue agrees to allow you to use their premises in the event of bad weather for the ceremony, they may require a change of start time, Which may affect our booking. If the ensemble is unable to play because of rain and an alternative venue has not been provided, full payment will still be payable.
  • It is optional to provide a contact person to show us where to set up, where to store instrument cases, payment of balance, etc.

For Weddings

This section is optional. You should receive a copy of the “Choosing the music” sheet at the time of booking to help you select music for the ceremony or you can download it (see below). For more help, contact us by phone or email.
